This is an excellent role for a self-starter looking for exposure to accounting, finance and tax work and who is willing to grow with our organization. Qualifications:

• University Degree in Finance/Accounting (CPA candidate preferred)
• 3-5 years progressive experience in the finance function
• High level of integrity, ability to maintain client confidentiality
• Extremely organized, strong attention to detail; ability to prioritize and manage multiple responsibilities
• Understanding of cash management (working with payment processors, financial institutions, issuing bank instructions)

Responsibilities:

Accounting (30%)

• Maintain sales data in Salesforce
• Maintenance of all financial transactions in Quickbooks
• Preparation of daily and weekly sales reports including sales scorecards
• Preparation of monthly financial statements
• Preparation of monthly bank reconciliations for all accounts globally
• Processing accounts payable and initiating payments for review
• Manage internal expense processing including tracking sales tax
• Verifying expenses from employees, events, invoices, and credit card charges are properly entered into QB and/or supporting schedules
• Serve as the main point of contact to pay vendor invoices and handle incoming inquiries with respect to payments
• Preparation of the Monthly Management Report

Payroll & Benefits (30%)

• Prepare bi-monthly payroll in ADP for Controller review
• Preparation of monthly sales commission calculations
• Assist with maintaining daily attendance log of internal staff
• Set up payroll accounts and time-off software accounts for new hires

Financial Reporting & Analysis (25%)

• Preparation of key weekly and monthly financial reports for the use of senior management (sales reports, scorecards, weekly and monthly management reports)
• Analyze financial data, analyze past results, perform variance analysis and create financial reports for decision support
• Perform analysis on Event commissions and overall cost of sales, ensuring the company is achieving gross margin targets
• Operations finance analysis, reviewing and analyzing key operations metrics, event contracts and invoices
• Assist with the preparation of budgets and forecasts
• Assisting with ERP implementation and data integrity

Accounts Receivable (15%)

• Assist Collections Specialist with managing accounts receivable
• Provide clients service as needed to customers with queries on payments
• Work with the team to handle complex accounts receivable collections matters and provide credit analysis as needed.
• Reconcile daily and monthly collections reports

Responsibilities:

Reporting (30%)

• Accountable for all North America Sales and Accounting Records
• Preparation of Monthly Management Report
• Prepare Monthly P&L
• Prepare Quarterly Cash Flow Forecast & Actuals update
• Ensure accuracy of Weekly Sales Reports
• Lead preparation of the Annual Budget for North America
• Assist with the preparation of Canadian and US corporate Tax returns, and quarterly HST returns

Finance Technology (20%)

• Work with Finance Director and IT department on enhancing the IT infrastructure of the department, including the following projects:
• Improving company-wide utilization of Salesforce
• Integration of Salesforce with Finance
• Implementation of a commissions system
• Streamlining and improving Datarails use in the Finance Department

Accounts Receivables: (10%)

• Oversee and manage Accounts Receivables.
• Provide guidance and strategy to the finance team in dealing with bad debts.
• Ensure that provisions remain below 3%, and work with Sales to manage complex clients.
• Ensure all Sales and contracts are negotiated within policies defined by the Board.
• Oversee all technology related to invoicing and continuously look for improvements to the technology and process.

Operations Finance (20%)

• Review all major procurement contracts to ensure favourable commercial terms, and comparative analysis relative to previous contracts. Step in to negotiate with vendors when required in coordination with Operations.
• Work with Operations to prepare, review and manage Event budgets

Payroll (15%)

• Prepare semi-monthly payroll
• Prepare monthly Commission Statements for Business Development Executives
• Take ownership for all payroll/HR related documents (eg – Promotion Letters, Contracts, etc)
• Lead the annual benefits review and procurement process
• Oversee management of time off and attendance

Accounts Payable (5%)

• Track all payables and assist in ensuring vendors are paid in a timely manner.

Day to Day Tasks Include:

75-80% of your role - Agenda Building and Speaker Recruitment

• Consistently conduct market research to keep up to date on industry hot topics and trends
• Develop a contact list of potential speakers appropriate for the conference program
• Develop a coherent, commercially-driven agenda outline that addresses industry challenges, new technologies, attendee investment areas, and other relevant topics
• Creatively reaching out to industry leaders (CEOs, Presidents, VPs, SVPs, etc) through cold-calling, emailing, LinkedIn messaging etc. inviting them to attend as a speaker
• Responsible for supporting the delegate and sponsorship sales campaigns
• Responsible for agenda content and copy edits
• Maintaining speaker recruitment targets and weekly deadlines

20-25% of your role - Onsite Execution and Speaker Liaison

• Greet speakers upon arrival with utmost professionalism
• Conduct speaker venue and presentation room walk-throughs
• Liaising with AV service provider on audio and visual staging requirements and communicating this to speakers
• Creatively problem-solving any speaker related obstacles onsite
• Conducting post-presentation interviews with speakers for content pieces
